Role: Assistant, C-Suite
Compensation: Base Salary ($47K-$50K) + Overtime ($8K-$9K) + Target Bonus (up to $3K)
Location: Los Angeles, CA

With strong communication and organizational skills, the candidate will ensure smooth office operations, effective coordination, and accurate management of confidential information.
To excel in this role, the candidate must possess a solid foundation in administrative support, preferably with prior experience in a talent agency, management, or production company. They will also bring exceptional organizational skills to handle diverse tasks efficiently. Responsibilities: Executive Support
- Handle high-volume scheduling and rolling calls.
- Answer and screen for calls and visitors, tactfully handling inquiries and referring to appropriate parties.
- Review and respond to mail and inquiries independently, determining the need for executive attention and routing routine matters to the appropriate person for action.
- Schedule and maintain calendars, coordinating appointments, meetings, and travel arrangements.
- Anticipate and prepare meeting materials and reports.
Administrative Coordination
- Gather, compile, and analyze information from various sources to prepare complex reports, manuals, and agendas.
- Compose routine and non-routine correspondence, reports, and memoranda, often confidential in nature.
- Produce high-quality reports, presentations, and documents.
Cross-functional Collaboration
- Act as liaison between executives and internal and external contacts.
- Coordinate activities and ensure that requests are carried out effectively.
- Handle diverse situations involving the administrative functions of the office, often independently.
Special Projects
- Efficiently file, sort, and log monthly expenses for the executives using Concur, ensuring accuracy and timely submission.
- Track and review external submissions, providing concise coverage summaries, and managing follow-up communications with external executives.
- Support the executives with tasks as needed, including but not limited to managing appointments, reservations, etc.
- Lead or contribute to special projects, providing cross-departmental support as required, leveraging your experience to drive success.
Requirements: - 1+ year(s) of experience in a Talent Agency, Management Company, or Production Company environment.
- Proficiency in managing high-volume and complex calendars and scheduling across time zones.
- Excellent proficiency with Microsoft Office applications.
- Strong oral and written communication skills for effective internal and external communication.
- Meticulous attention to detail and accuracy.
- Ability to maintain confidentiality and diplomacy.
